Choosing the AV Installation That’s Right for You

Anyone who works in a performance space knows just how vital the AV installation is. It sits at the heart of everything—powering audio and video distribution, reinforcement, projection and display, all tied together by a control system that’s relied on day in, day out. When it’s done right, everything works seamlessly, elevating performances and creating a truly memorable experience for every audience.

That said, choosing the right system can often be overwhelming. Get it wrong, and you can end up with poor coverage, constant workarounds, and ongoing maintenance headaches. Given our experience delivering AV installations across a wide range of venues, we understand these challenges first-hand. That’s why we’ve put together this guide— which details precisely what you need to consider when choosing an AV installation, some of the most common pitfalls to avoid as well as how we can help guide you through the entire process.

What Is Included in a Theatre AV Installation?

So let’s start with the basics – what exactly is an AV installation? Whilst many may believe it resolves solely around sound, it’s actually a fully co-ordinated technical installation that covers a variety of different elements. These include:

  • Audio Distribution
PA (front of house), speakers, amplifiers, processing/DSP, mixing desks, stage boxes, microphones (where in scope) and cabling/signal paths.
  • Projection and Display
Projectors, screens, LED displays (where applicable), mounting solutions and auditorium sightlines.
  • Video Distribution
Video routing, splitters/matrices, signal conversion, networked AV (where appropriate), and reliable cable pathways.
  • Control Systems
Simple operator control (wall panels, presets), show control options, and user-friendly interfaces.
  • Integration with Lighting and Staging
Coordination with lighting, rigging, and wider stage equipment so systems work together safely and predictably.

How to Assess Your Venue’s Needs

In order to choose the AV installation that’s right for your venue, you need to assess what your building requires and tailor the system according. The main things to consider are:

  • Venue size and acoustics
Large reflective halls require a much different approach than treated auditoria. Think about the size of the space, its overall shape and how any sound will travel throughout.
  • Type of performances
Drama and speech-led events prioritise intelligibility; music performances need headroom and low-frequency control; dance needs consistent coverage and impact.
  • Audience capacity and seating layout
Coverage is geometry. Consider balconies, rakes, side seating, and audience proximity.
  • Flexibility for multi-use spaces
Schools and community venues often require easy switching between assemblies, drama, presentations and visiting acts.
  • Permanent vs touring setups
If a venue hosts touring work, it needs sensible patching, predictable signal routes, and a “tour-friendly” approach that doesn’t disrupt its house system.
  • Scalability and future expansion
Plan for growth: extra inputs, additional zones, more sources, new seating layouts, or future upgrades. The correct infrastructure now prevents expensive rework later.
  • Ease of use for staff and technicians
A system that’s too complex becomes “locked” to one person. A well thought-out AV design includes presets, logical labelling, and workflows that suit its users.
  • System reliability
Live performance demands stable signal paths, robust connectors, sensible routing, and proper commissioning. Reliability is a design choice, not a coincidence.
  • Budget vs long-term value
The cheapest option often costs more when you add downtime, rework, and limitations. Aim for best value across your venue’s life-cycle (which is where we can help).

How can Solutions On Stage help?

As a company, we were founded to take the complexity out of compliance. We now apply this manta to all of the other services we offer; in particular installations. We want to make what can often be an overwhelming process as simple and transparent as possible, primarily through outlining all of the necessary steps and making sure the client is involved at every stage. This includes:

  • Site surveys and system design
We undertake site surveys to truly understand your venue (both if you’re a new or existing customer). This allows us to assess your specific needs, access points and any constraints before specification. Our expert team is then able to put together a system tailored specifically for you.
  • Technical drawings and planning
We will put together technical drawings which outline the clearest routes, mounting positions, infrastructure planning and practical service access points.
  • Safe installation and compliance
Once you’re happy with our system design, our team will arrange a time that suits you to carry out the installation.
  • Integration with existing infrastructure
Whether the installation is taking place is an existing space (which is often the case) or a brand-new building, we’ll ensure this new system is integrated fully with your current set-up.
  • Testing and commissioning
We will thoroughly test the system before signing it off – ensuring its serving your space in the best way possible.

Thinking About The Future…

Our work doesn’t just stop when the installation is complete. Rather, as a company, we want to support the life-cycle of your venue. By that, we mean we want to oversee any on-going compliance, maintenance and inspections – ensuring our initial works are then maintained to the highest standards. We are able to do this through the following:

  • Inspection and Maintenance Plan
We put together an annual inspection and maintenance plan which allows us to ensure your equipment is both safe and working to its full potential.
  • Staff Training
We offer your staff on-going training so that they can use your in-house system safely and confidently, as well as ensure they are up-to-date on the latest industry trends.
  • Ongoing support
Through our customer portal, you will always be able to contact our team who can then assist with any issues you may have.
  • Continued Upgrades
We will future-proof your AV Installation, allowing us to add any upgrades or new equipment as and when required.

Frequently Asked Questions

How long does an AV installation take?

This depends purely on a venue’s size, access, and whether it’s a full install or phased upgrade. Once we have conducted that initial site survey and specification, we will then put together a realistic programme that maps out the different stages of the installation.

Can AV systems be upgraded in stages?

Yes of course. In fact, many venues choose to improve their infrastructure first (routes, control, distribution) and then upgrade equipment in phases. This can reduce disruption and spread cost whilst still improving the overall space.

How much does an AV installation cost?

The price of an install will always vary, based on scope, performance requirements, access, and integration needs. The best way to control budget is to first define your space’s usage and priorities, after which we can specify a system that aims to deliver long-term value rather than short-term savings.

Will an AV installation disrupt scheduled performances?

Not at all. In fact, we most commonly carry out installs around scheduled dark days, off-peak periods or (for schools) holidays. Our aim is to ensure we cause the least disruption possible so will always work around you!

Next Steps…

To conclude, an AV installation works best when it’s created specifically for your space, your productions and the people who will use it. A knowledge of your venue and proper specification will allows us to create a system that’s visually impressive, easy to operate and maintain, and can be upgraded over time.
